General

  • What happens if I lose or forget my password?

    For security reasons, your password is never transmitted to us or stored on our servers. Therefore, it cannot be reset or recovered by us. Without the correct password, access to your encrypted data is permanently impossible.

    Please store your password in a secure location.

    In your account, you can create recovery keys. These act as backup access and allow you to restore access to your data if you forget your password.

    To create a recovery key:

    1. Log in to your Versiobit account.
    2. Go to account settings.
    3. Click "Create recovery keys"
    4. Store the generated recovery keys securely – e.g., in a password manager or print them out.

    If you lose both your password and your recovery keys, access to your encrypted data will no longer be possible.

  • Which file types are supported?

    Versiobit supports all file types – there are no restrictions. This means any file you can store on your own computer can also be archived and stored in an audit-proof way with Versiobit.

    Files from other products like Google Workspace (Google Docs, Sheets, or Slides) can also be archived using Versiobit. Just download the respective documents in a common format, such as:

    • PDF
    • DOCX
    • XLSX
    • PPTX

    You can then manually upload these files via our web interface or automatically sync and archive them using the Versiobit desktop app.

  • How audit-proof are Excel files in Versiobit?

    Excel files – e.g., for income-expense reports, mileage logs, or cash books – can be archived in an audit-proof way with Versiobit.

    When saving, Versiobit creates an immutable version of your file and permanently secures its hash in the public Ethereum blockchain. Any further changes create new versions, which are also individually secured.

    A maximum of one version per file per day is stored. So, with daily edits, up to 365 versions per year can be created – each immutably documented.

    Previous versions remain accessible and traceable. This allows you to verify:

    • when a specific version existed,
    • whether content was removed or altered.

    This approach supports GoBD requirements for immutability and traceability – especially when relevant changes are regularly saved.

    Conclusion: Even Excel files with ongoing entries can be maintained in an audit-proof manner with Versiobit.

Technology

  • Are my files stored in the blockchain?

    No, your files themselves are not stored in the blockchain.

    Instead, we store your files and the complete version history encrypted in our cloud. In the blockchain, we store only small, anonymous cryptographic proofs (so-called fingerprints) that verify audit-proof integrity. These fingerprints contain no information about you or your file contents.

  • How future-proof is encryption? What about quantum computers?

    We use proven AES 256-bit encryption in the particularly secure GCM mode.

    The AES-256-GCM method complies with the current recommendations of the National Institute of Standards and Technology (NIST). Thanks to its 256-bit key length, AES remains highly secure even against attacks by future quantum computers ("Quantum Security Analysis of AES"). While asymmetric encryption methods (e.g., RSA) can be severely compromised by Shor’s algorithm, Grover’s algorithm only provides a quadratic speedup for key searches in symmetric methods like AES-256. As a result, 256-bit keys remain extremely robust even in a post-quantum scenario.

  • Is the audit-proof compliance certified by tax authorities?

    Unfortunately, there are no official GoBD certifications by tax authorities. However, our solution meets all GoBD requirements for audit-proof compliance through traceability, immutability, completeness, and availability.

  • What happens to my data and proofs after cancellation?

    Even after cancellation, the audit-proof integrity of your files remains intact. Every stored file version is cryptographically secured and permanently anchored in the public Ethereum blockchain – regardless of whether you continue using Versiobit or not.

    In the web interface, you can view a proof of audit integrity for each file. This includes:

    • the file's cryptographic hash,
    • the corresponding blockchain timestamp,
    • the transaction ID on the blockchain.

    These proofs can be saved as PDFs or printed – ideal for long-term archiving or sharing with third parties.

    Important: After your subscription ends, access to your archived files via our cloud is no longer possible. If needed, you can export your files – including all audit proofs – before the contract ends. Just contact us.

    Even if Versiobit were to shut down in the future, all blockchain-based proofs remain valid and verifiable. Since we use a public blockchain and avoid vendor lock-in, the integrity proofs remain trustworthy independently of the Versiobit platform.

    We are also working on a convenient export feature that lets you bundle your files and proofs into a ZIP file – even proactively.

Pricing & Billing

  • What does the 3-year price guarantee mean?

    With an active subscription, your price remains fixed for three years from subscription start. You can still upgrade your plan or cancel the subscription at any time during this period.

  • Do you offer monthly subscriptions?

    No, all non-free subscriptions are billed annually and require a yearly commitment.

  • How is my storage consumption calculated?

    Storage usage is calculated based on both file sizes and metadata overhead for directories/files. Each directory counts as 64 KB, each file as 128 KB - in addition to actual file size.

    Example: Storing 1,000 PDF files (3 MB each) in 20 directories results in ~3.05 GB total storage. Calculation:

    = File-Size           + Directory-Metadata + File-Metadata
    = 3.145.728.000 Bytes + 1.310.720 Bytes    + 131.072.000 Bytes
    = 3.278.110.720 Bytes
    ≈ 3,05 GB
    
  • How is the number of files determined in the Free tier?

    Each stored version of a file counts as one file.

    To guarantee audit-proof requirements, even old versions of deleted files remain permanently preserved.

  • How does the 30-day trial work?

    When registering for a paid plan, a 30-day free trial automatically begins. During this period, you can use all features without obligation.

    The paid plan only starts after the trial ends - unless you cancel or switch plans beforehand.

  • How can I change my plan?

    Currently, changing your subscription plan is not possible directly via your account settings.

    If you'd like to switch to a different plan – whether upgrading or downgrading – please contact our support team at support@versiobit.com. We’ll be happy to apply the change for you.

Desktop App

  • Why do I get a warning that the app installer isn't secure?

    Since the installer isn't currently digitally signed, Windows may display a security warning. This occurs because we're a small startup that hasn't yet purchased a digital signature. The download remains safe and malware-free. We're working to provide a digital signature in the future.

  • When does synchronization occur?

    Synchronization happens automatically and continuously when the app is running. Changes - both local on your device and in the cloud - are detected and synced in real-time.

    Note: The app doesn't auto-start with your system. To enable background syncing, we recommend setting up autostart.

    If you prefer to control when syncing occurs, you can decide exactly when it happens by starting the app manually.

  • Do I need to manually start Versiobit daily? Is there autostart?

    You decide when and how to use Versiobit.

    For uninterrupted background syncing, we recommend enabling autostart with system boot.

    To set up autostart in Windows 11:

    1. Open Windows File Explorer
    2. Type shell:startup in the address bar and press Enter - the startup folder opens
    3. Drag the Versiobit desktop shortcut into this folder

    After next reboot, the app will auto-start and begin syncing in the background.

  • What data on my PC can the app access?

    The desktop app only accesses folders and files you explicitly select for synchronization. It cannot access other data or system areas. Technical information like filenames and contents are encrypted on your device before cloud transfer, ensuring neither we nor third parties can access sensitive data.

  • Where are my encryption keys stored?

    Keys remain exclusively on your device. Neither Versiobit nor third parties have access to them. Please ensure you keep your password secure.

  • How do I choose which folder to sync?

    After installation, you can add any folders for synchronization. Within the app, select paths and use filter rules to control which files get included.

  • Can I sync multiple folders?

    Yes, you can set up multiple sync connections simultaneously. Each folder can have its own filter settings.
